We are currently seeking an Administrative Assistant/Project Coordinator to join our team in Regina.
How will you contribute to the team?
As an integral member of the Prairies administrative team, the Administrative Assistant/Project Coordinator will support the Regina office providing full administrative duties as well as other proposal/project support tasks required to ensure the needs of senior management are met. The Administrative Assistant/Project Coordinator will also support projects in the development phase.
Administrative Support
Welcome guests and clients and guide to appropriate meetings offering assistance, directions and advice where needed
Organize and set up conference calls, video conferences, meetings, catering, and arranging the scheduling, invitations and confirmations of meetings and booking of appropriate boardrooms
Respond to email and telephone queries and direct clients to the appropriate individual as required
Prepare and distribute agendas, notes, PowerPoint slides and other material needed prior to meetings, record and distribute meeting minutes
Organize and secure travel bookings for senior management, company employees, visitors and clients as required
Prepare and track status of expense reports on behalf of senior management
Coordinate and follow up with Accounts Payables team to ensure invoices are coded correctly
Provide vacation relief and backup to other team members when required
Various administrative duties as requested and/or required
Project Coordination and Proposal Support
Assist in the coordination, delivery and quality assurance of proposals for projects across the globe
Support proposal database maintenance of resumes and project teams, and updating of key proposal elements
Support the project leadership in the development or update of project documentation (e.g. project execution plan, project quality plan, cost, schedule, quality, health and safety)
Assist with invoicing and follow-up with client for collection of payment
Various tasks as assigned by a Project Manager, Project Engineer or General Manager
What will you contribute?
Minimum of 3 years experience working in a large office, supplemented by an administrative course or additional relevant experience
Excellent computer skills; Proficient in MS Office. Fluency using Microsoft Word, Excel, PowerPoint, Acrobat, and SharePoint is a must
Oracle knowledge and experience in consulting engineering would be an asset
Detail oriented, highly efficient and organized, fast learner
Capable of meeting deadlines and managing high volume of Project Manager and engineering staff requests
Strong written and oral communication skills
Excellent interpersonal skills and ability to work in a team-oriented, fast-paced working environment
Self-Motivated, results-driven and flexible
Ability to reprioritize and deal with a fast-paced environment
Local candidates will be preferred as no relocation package will be offered.
