Proposal Coordinator – Co-Op Student

Reporting to the Director of Proposal Management Services, the Proposal Coordinator – Co-Op is a highly motivated self-starter who will assist in various areas of the proposal management cycle for client proposals across all markets and various project sizes, depending on the business need. The Proposal Coordinator – Co-Op will be responsible for supporting the Win Work proposal management team in responding to Proposal Requests (RFQ, RFP, etc.) and may also support the development of Sales Documentation (Project Fact Sheets, Capability Statements, etc.), in collaboration with a diverse team of key technical contributors and subject matter experts in Canada, and with external business partners as required.

Location: Toronto, ON.

Your role within the team:

  • Provides support to the Proposal Management Team, under the guidance of the assigned Proposal Manager or other resource.
  • Participates in pre-bid and capture planning as required.
  • Drafts the proposal response template and responsibility matrix based on client requirements.
  • Maintains the response schedule and escalates when internal deadlines slip.
  • Copy edits proposal content for style, clarity, and completeness to client requirements, while incorporating win themes that resonate with the client.
  • Format proposal documents to be visually appealing to the evaluator.
  • Interfaces with cross-functional teams of subject matter experts, including technical, business, commercial, and legal, throughout the proposal process.
  • Coordinates and participates in proposal kick-off, team reviews, and lessons-learned meetings.
  • Supports the submission to the client, including electronic and hard-copy files.
  • Assists in preparing library materials, including Project Fact Sheet, CVs, Sales Presentations, and other materials as required.
  • Programs the Proposal SharePoint site using SharePoint tools as required.
  • Other duties as assigned.

The ideal candidate:

  • Proficient in all Microsoft Office Programs (Word, PPT, Excel, Outlook, SharePoint, etc.)
  • Proficiency in Adobe Creative Suite and an interest in graphic design would be an asset.
  • 3rd-year communications, marketing, or business student or higher. Must be enrolled in a co-op program.
  • Time Management and organizational skills.
  • Excellent communication skills.
  • Detail oriented.
  • Located in Toronto or Montreal, able to work in a hybrid environment (at least 2 days in the office and 3 days remote).
  • French fluency is considered an asset but not essential.
  • Able to travel when required.
  • A positive attitude and willingness to learn while having fun in a fast-paced environment.
