Administrative Assistant – Legal - Vancouver

Under the supervision of the Regional General Counsel, Canada , the employee will have the following responsibilities:

Your role within the Team

As a member of the Legal team, you will report to the  Senior Vice-President, Legal Affairs, Infrastructure and be responsible for:

  • Create, review and format documents (Word, PowerPoint and Excel) in accordance with the business’ standards and ensure highest quality of presentation;
  • Manage contractual documentation and prepare necessary material to facilitate work;
  • Review, format and integrate comments in contractual documents and ability to review a document by applying basic legal and contractual principles. Ensure follow-up of changes;
  • Manage incoming calls and messages. Partial management of the team member’s emails (classification, importance, printing of attached documents when required, follow-up as required);
  • Manage schedules, including arranging meetings, reminders, absences of the team members and other relevant information;
  • Establish and maintain sorting, classification, codification, archiving and IT (files and emails) systems depending on the needs of the team. Establish a standardized and transferable method;
  • Coordinate the logistic of business meetings, internal or external, take care of reservations of meeting rooms and management of the required documentation and material;
  • Prepare and send the correspondence, the documents and the reports of the team. Responsibe for the digitalization of documents and their classification;
  • Ensure all timesheets for the team are submitted weekly;
  • Manage the documentation of the team for SharePoint and other systems;
  • Apply and adhere to all policies and procedures of the business;
  • Ensure the availability of supplies and forms;
  • Ensure the proper functioning of the office equipment (computers, phones, furniture, others) and refer any problem to the relevant suppliers;
  • Arrange travel for the team and prepare, submit and do the follow-up of the team members’ expense accounts;
  • Ensure the follow-up of different signatures on urgent and confidential documents by following the levels of authority of the signatories;
  • Prepare and submit certain documents (for review), including administrative documents related to membership renewals to certain organizations; and
  • Enter the hours of mandatory training on the appropriate site and maintain a register for the team.

Qualifications for the Position

  • Diploma in secretarial or any other relevant education (legal profile an asset);
  • Minimum of 7 years of experience in a similar position (in-house legal experience would be an asset);
  • Perfect knowledge of English, both oral and written;
  • Advanced knowledge of the Microsoft Office series (Outlook, Word, Excel and PowerPoint);
  • Ability to maintain strict confidentiality in order to manage confidential material and situations;
  • Works well in a team environment with an ability to manage different prioritiesr
  • Strong work ethic;
  • Ability to work under pressure with a minimum level of supervision and to do the follow-up of several files at the same time;
  • Dynamic, autonomous, solid judgment, advanced organizational skills and attention to detail;
  • Knowledge of Workshare software will be an asset.
