The Business Support Team for London & Southeast Region underpins the service delivery, our practitioners deliver to our clients, and is an integral hub of our operations.

Due to year-on-year continued growth, we currently have an opportunity for an enthusiastic, career driven, Administration Assistant to join our London based team. Previous experience and strong track record of administration duties in the construction industry would be ideal however not essential as we appreciate transferable skills.

The successful candidate will be reporting into the Administration Manager of the London & Southeast Region:

Responsibilities:

  • Working with the Business Support Team, providing support to the region and leading diary management, direct team support for the Consult team
  • Implementing and maintaining effective filing systems
  • Assisting with report requests from the financial systems for project time and expense recording
  • Organise travel and accommodation via the company portal
  • Formatting of documents to company standard for issue
  • Liaise with various departments in the business by phone and email as necessary
  • Photocopying, binding and storing of company documents
  • Collecting and distributing incoming post and deliveries as necessary
  • Manage outgoing post and booking couriers
  • Covering diary management for other teams when required, and email correspondence
  • Arrange annual photography sessions for new staff liaising with the company providing this service to obtain quotes and secure the booking.  Arrange appointment times for staff to attend the session
  • Ordering of ad-hoc stationery as required
  • Assist with archiving as required by the business
  • Update company databases
  • Being a team player within the Business Support Team

Requirements:

  • At least one year’s experience in a similar role is ideal
  • Competent with Microsoft Office suite
  • Excellent written and verbal communication skills
  • Experience using InDesign software or similar graphics packages (not essential but desired)

  • Understanding business confidentiality when administrating and communicating

  • Ability to work within a fast-paced environment
  • Adaptable approach to heavy workload
  • Brilliant time management and organisational skills
  • Positive attitude and a desire to learn
