Atkins seeks an energetic and highly motivated self-starter to join our Atlanta, GA Public & Private Management Group as an Executive Administrative Assistant.


MAJOR FUNCTION/ROLE

Highly intelligent and organized individual needed to provide administrative support and activity coordination to the Director of the Public and Private Group. The position will also support other Senior Members of the Management Team.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.


JOB DUTIES

The Administrative Assistant will be trained and will need to know how to use the following Atkins' programs and systems:
  • Travel Reservations - new system coming online in February 2020
  • Concur - expense reporting
  • Prodagio - Accounts Payable
  • Purchase Requisition
  • Scorecard
  • Power BI - to prepare summary reports only for presentations 
  • Vision
  • Use of PowerPoint for developing presentations

Business Unit Director Administrative Assistance
  • Demonstrates professional demeanor towards duties and responsibilities, particularly with regard to independence, professional ethics, and professional judgment.
  • High level of professionalism and confidentiality while in the office and in communications with employees and clients.
  • Proactively manage an extremely active calendar of appointments.
  • Operate in a detail-oriented manner and produce precise and accurate work products with utmost attention to detail.
  • Prepare internal electronic communications at BU Director's request and distribute.
  • Prepare and submit weekly travel expense reports.
  • Is punctual, on time, and adheres to company policies. Regular attendance in the office is an essential job function.

Communications & Meeting Logistics
  • Assist with the planning and coordination of meetings. Scheduling of meetings in some cases will also include securing hotel room reservations, coordinate transportation to and from airport for meeting attendees, scheduling of off-site dinners, etc.
  • Maintain email distribution lists, organizational chart, etc.
  • Working with the BU Director, prepare the monthly agenda and slide deck presentation for monthly updates. Secure and confirm meeting presenters and provide as needed support with their PowerPoint presentations.

Compliance Monitoring
  • Assists the BU Director with monitoring employees’ compliance related to corporate requirements, including but not limited to, online training and certifications.

Administrative Business Functions
  • Prepare expense reports and/or make travel reservations for Senior Managers
  • Provide miscellaneous administrative support to Senior Manager in Los Angeles office
  • Prepare mailings for FedEx delivery
  • Assist with Purchase Requisitions
  • Assist designated project managers with preparation of monthly project progress reports.
  • Assist with completion and processing of Events Budget Requests (EBRs); Scorecards for expense reporting.
  • Prepare check request approvals
  • Assist with preparation of new staff requisitions
  • Other duties as assigned

EDUCATION AND EXPERIENCE
  • Bachelor's degree in Business Administration or related field plus a minimum of ten years' experience in administrative work, preferably with at least three years within the company. In the absence of such company tenure, prior experience in the Consulting Engineering industry supporting senior executives strongly desired. Without a degree, a minimum of fifteen years' experience in progressively responsible administrative work is required.

SPECIAL SKILLS
  • Expert in Microsoft Office
  • Individual should be flexible, dependable, and results-oriented
  • Ability to communicate effectively (written & oral) with all levels of personnel
  • At least three years of experience supporting C-Level Executives.
