TransitNEXT is a wholly owned subsidiary of SNC-Lavalin. As the sole proponent in the TransitNEXT team, SNC-Lavalin is awarded the design, build, finance and maintenance of the new extension, and will also assume responsibility for the long-term maintenance of the existing Trillium Line.

Join TransitNEXT and become part of The Trillium Line Extension project, expanding and enhancing transit services in Ottawa.

Based in Ottawa, we are looking for a qualified Executive Assistant to support our Senior Leadership on a major transportation design and build project. The incumbent will be enthusiastic, collaborative, detail oriented and have the ability to multi-task. You will also need to approach your work with a continuous improvement mindset and a strong sense of initiative in order to adapt and keep pace with our rapidly changing business. You will have previous experience supporting senior executives, have excellent communication and organization skills and understand the need for discretion and confidentiality. The successful candidate will have a positive working demeanor and be expected to collaborate effectively with other team members.

How will you contribute to the team?

  • Actively manage the calendars, appointments and scheduling for senior leadership.

  • Complete completing expense reports, arranging extensive detailed domestic and international travel plans (including coordination commercial visas, as appropriate), itineraries, and agendas.

  • Collaborate/Coordinate/plan/schedules, special events, meetings and conferences; prepare agendas and related documentation; coordinates work with other departments and organizations.

  • Prepare and have access to highly confidential and sensitive information on an ongoing basis; expectation of complete confidentiality on all business matters.

  • Create and/or coordinate material for presentations using MS PowerPoint or Word.

  • Develop and prepare various reports and documents including spreadsheets, charts, and graphs using MS Excel and Word.

  • Assist in compiling documents for review of the Executive Team.

  • Organizes and maintains electronic and paper filing systems, including establishing document and record control systems.

  • Build, nurture, and foster relationships with internal and external partners.

  • Proactively follow-up on issues to ensure they are resolved.

  • Lead by example in understanding and adhering to the SNC-Lavalin Code of Ethics and in all HSSE initiatives.

  • Perform other ad-hoc duties as assigned.

What will you contribute?

  • 5+ years of proven experience, supporting executive level staff

  • Degree in Business Administration or an equivalent combination of education and experience

  • Advanced MS Office Skills: Word, Excel, PowerPoint, strong Word processing skills

  • Passionate about Customer Focus

  • Strong collaboration, interpersonal and communication skills (written and verbal)

  • Proactive and solution oriented

  • Professional manner, tact, diplomacy and discretion in dealing with clients, vendors and associates including senior management.

  • Well organized, disciplined and self-motivated

  • High level of attention to detail, accuracy and follow-up

  • Ability to reprioritize and deal with a fast-paced environment

  • Strong ability to influence and to create positive change across all areas of the business
