Administrative Support – Facilities

Assist and support the day to day running of the 745 Thurlow office.  Responsibilities include maintaining in-house Service Request Log, Accounts Payable payment processing, reception backup, respond to internal customer service requests, place service calls, arrange and oversee internal/external offices moves. This position is based out of our office in Vancouver, BC and reports to Lead Coordinator -Facilities. 

How will you contribute to the team?

  • Maintain in-house Service Request Log and Contracts Share Point Site
  • Stationery Supply Ordering, reception backup
  • Maintain keys/access cards database
  • Accounts Payable, Invoice Processing
  • Assist in arranging meetings, campaigns and events
  • Assist in tenant fit-outs and office set-ups and moves
  • Respond to internal customer service requests in a timely manner
  • Support and cross train other office staff
  • Arrange and oversee internal/external office moves
  • Always ensures compliance with Health, Safety, Environment & Community (HSEC) standards
  • Manages time well and prioritizes to meet deadlines
  • Uses tact and discretion in dealing with information
  • Communicates clearly and convincingly (both verbal and written)
  • Displays openness and cooperation with everyone
  • Takes on issues with enthusiasm, seeking support where needed
  • Listens, acknowledges and appropriately questions clients (internal and external) in order to understand their needs

What will you contribute?

  • 2-5 years prior administrative experience, facilities experience an asset
  • Certificate or diploma in Office Administration (asset)
  • Excellent MS Word, Excel, Outlook skills
  • May need to work out of our Vancouver and Burnaby locations (transit accessible)
