Atkins seeks an energetic and highly motivated self-starter to join our Houston, TX Human Resources Group, as a Recruitment Coordinator.


MAJOR FUNCTION/ROLE

Partners with Recruiters, HR Business Partners and hiring managers to provide administrative support to deliver the best possible candidate experience and onboarding process


JOB DUTIES
  • Implement and manage the offer letter process per the established guidelines.
  • Prepare employment letters for newly recruited staff and process any subsequent amendments in an accurate, efficient and timely manner.
  • Review all offer letter requests to ensure that the position title is active, pay rate is within range, and required approvals have been received.
  • Request and assist with a candidate’s pre-employment paperwork and administer pre-employment screenings for all hires. Respond to enquiries relating to pre-employment screenings.
  • Ensure that all onboarding documentation is stored in shared drive.
  • Inform appropriate Recruiter and HR Business Partner of employment offers being extended, any subsequent amendments made and candidate’s acceptance or rejection of employment offer.
  • Ensure global mobility processes are followed with recruiters, external immigration partner, human resources and the global mobility advisor by gathering necessary paperwork, posting jobs, reviewing and contacting applicants and confirming recruitment reports.
  • Track and report pre-employment screening results, coordinating with the appropriate HR Business Partner. Conduct appropriate follow-up for additional clarification and/or approval when necessary.
  • Respond to queries from hiring managers, supporting and advising them to follow the correct procedures for high quality recruitment and onboarding.
  • Work with vendor to support the pre-employment screening and E-verify processes.
  • Develop, manage, and maintain recruiting reports and SharePoint. Update reports weekly with input from Recruiters. Ensure documentation in SharePoint is valid and updated at all times.
  • Assist with travel arrangements for candidate interviews.
  • Implement and manage the referral bonus program per the established guidelines.
  • May assist in posting job openings on our career site, on state job boards and university sites.
  • May issue Candidate Experience Survey to new hires.
  • Assist with various recruitment projects as needed.
  • Performs such assignments and duties as the Supervisor may deem necessary from time to time.

EDUCATION AND EXPERIENCE
  • Bachelor’s degree in Human Resources or related field, or high school diploma plus 5 years of HR experience, or an equivalent combination of education and experience. Ability to multi-task in a fast-paced environment. Detail oriented. Ability to work independently.

  • Excellent customer service skills and telephone etiquette. Analytical, problem solving and decision-making abilities.
  • Effective oral and written communications. Excellent organization, attention to detail, time management, and ability to follow up with others.
  • Ability to quickly learn detailed information in a fast-paced environment.
  • Able to exercise excellent judgment, including sensitivity to personal and confidential information.
  • Proficiency in operating a personal computer with windows and standard business software programs (MS Office, including Word, Excel (intermediate or higher skill level), PowerPoint, Outlook e-mail and calendar), and a desire to learn additional programs as needed.
  • Self-starter and able to work independently and as a member of a team.
  • Must have strong interpersonal skills and ability to work with diverse groups of people. Experience establishing and maintaining working relationships with individuals at all organizational levels, including executive management.
  • Good work habits, such as attendance, punctuality, accountability, a high sense for urgency. Ability to deal with competing priorities and be able to manage time appropriately.
  • Bring a positive and high-energy approach to getting things done.
