Roles et responsabilités:
Le spécialiste en contrôle de coûts de projet joue un rôle d’intermédiaire entre l’équipe de direction, les directeurs de projet et l’équipe des finances. Il supporte la coordination des activités de gestion des coûts de projet en étant responsable d’assister :
- le directeur Qualité, PMO et excellence opérationnelle pour gérer le programme de gestion de projets PMO en appliquant et en supportant l’application des processus.
- les directeurs de projets pour bien interpréter leurs coûts et gérer leurs budgets de projet
Les responsabilités de ce poste de gestion des coûts incluent principalement les budgets du client, les coûts des fournisseurs, la planification budgétaire, les comptes recevables et les comptes payables.
Fonctions:
Les activités typiques et fonctions essentielles de ce poste incluent, mais ne se limitent pas seulement à:
- Participer au processus d’ouverture de projet du système Qualité en mettant à jour certaines informations des formulaires SharePoint et les pièces jointes commerciales (ex : bon de commande et offre de services) dans le système financier
- Assister les directeurs de projet pour développer le WBS (work breakdown structure), les tâches de projet et les budgets
- Assister les directeurs de projet pour s’assurer que le projet est bien documenté dans le système financier avant de le soumettre pour approbation
- Assister les directeurs de projet pour la mise à jour de la planification budgétaire suite à une analyse des coûts et des budgets
- Assister les directeurs de projet pour s’assurer que les coûts des ressources du projet sont assignés au bon code budgétaire
- Préparer les données de la section financière des formulaires PMR (Project Monthly reports) qui seront analysées par les directeurs de projet
- Assister les directeurs de projet pour interpréter toute information et mettre en place toute demande de type financier
- Participer aux réunions de revues de projet mensuelles et effectuer les actions requises
- Assister les directeurs de projet lors des processus de modification et de fermeture du projet du système Qualité
- Préparer des rapports de performance de coûts de projet et des rapports financiers hebdomadaires et mensuels avec des informations en provenance de divers systèmes incluant Oracle, SAP et SharePoint
- Interpréter les résultats des rapports financiers et proposer des recommandations
- Surveiller, analyser, contrôler et équilibrer les écarts de coûts du projet
- Surveiller et aider à contrôler les comptes recevables et les comptes payables
- Préparer et maintenir les flux de trésorerie
- Participer au programme Lean d’excellence opérationnelle en suggérant des idées d’amélioration telles que de nouveaux indicateurs de performance, de nouveaux outils de gestion ou l’amélioration de certains processus du système Qualité
Habilités et connaissances
- Familier avec les bases de données relationnelles
- Bon collaborateur qui communique efficacement grâce à une écoute active et qui a la faculté de bien analyser les besoins
- Connaissance requise de la suite Microsoft Office dont particulièrement Excel, Outlook et SharePoint
- Doit être habile avec les fonctionnalités d’analyse de données et les tables de pivot de Microsoft Excel
- Connaissance requise des systèmes financiers: Oracle E-Business Suite, SAP Business Objects
- Doit avoir un esprit analytique, être flexible, rigoureux et en mesure de bien gérer son temps et les priorités
- Expérience dans une firme d’ingénierie et/ou construction un atout
- Diplôme en gestion de l’ingénierie, de la construction ou des affaires, en finances, en comptabilité, en économie ou en statistiques, un atout
- Bilinguisme requis (anglais et français)

Roles and responsibilities:
The project controls specialist plays a coordination role between the Industrial management team, the project managers and the Finance team. He participates to the coordination of activities related to project costs controls by being responsible to assist :
- the Director of Quality, PMO and Operational Excellence to manage the PMO project management program by applying and facilitating the implementation of processes.
- the project managers to analyse their project costs and to manage the project budgets efficiently.
Cost management responsibilities primarily include client budgets, vendor commitments, estimate-to-complete forecasts, accounts receivable (AR), and accounts payable (AP).
Functions:
Typical duties and essential functions will include but will not be limited to:
- Participate to the project opening process of the Industrial Quality Management System (QMS) by updating the SharePoint PQP (Project Quality Plan) form and by entering information including commercial attachments (eg. Purchase Order and Proposals documents) in the Oracle financial system
- Assist project managers to develop a WBS (work breakdown structure), project tasks and budgets
- Assist project managers to ensure that the financial system documentation is up to date before submitting for budget approval
- Assist project managers to update their forecasts after analysing costs and budgets
- Assist project managers to make sure that costs of resources are assigned to the right Oracle tasks
- Prepare the financial reports to be transferred to the SharePoint PMR (Project Monthly reports) forms which will be reviewed by project managers
- Assist project managers to analyse project financial information and prepare financial update
- Participate to PMR monthly meetings and related action plans
- Assist project managers during the project modification and close-out processes of the Quality Management System (QMS).
- Prepare project cost performance reports as well as other ad hoc/weekly/monthly financial reports including information from several systems such as Oracle, SAP and SharePoint
- Analyse financial results and propose recommandations
- Monitor, analyse, control and balance budget variance for projects
- Monitor and help control accounts receivable AR and accounts payable AP
- Prepare and maintain cashflow for projects, program and business unit
- Participate to the Industrial Operational Excellence Lean program by suggesting ideas for improvement such as new KPIs , tools or improved QMS processes.
Skills and Knowledge
- Understanding of relational databases
- Communicate effectively with diverse stakeholders, adapting to meet stakeholder needs
- Skilled in the Microsoft Office Suite, especially Excel, Outlook, and SharePoint
- Must be fluent in Microsoft Excel with specific knowledge of data analysis functions and pivot tables
- Knowledgeable about enterprise business systems : Oracle E-Business Suite, SAP Business Objects
- Analytical, detail oriented, multitasking, prioritization, sees the “big picture”, and deadlines-oriented
- Experience with an engineering and/or construction company a plus
- Bachelor’s degree in an analytical major such as engineering, construction management, business management, finance, accounting, economics, statistics a plus
- Bilingualism required (French and English)
